Campsite PMS for small RV parks: what to check before switching

For: Independent campgrounds and RV parks moving beyond paper, spreadsheets or a basic booking tool. Product pages and help documentation were checked September 20, 2026.

The short answer

A useful campsite PMS must do more than place bookings on a calendar. It should prevent unsuitable site assignments, keep online and staff-made reservations in one live inventory, collect and reconcile payments, support the park's mix of nightly and long-term guests, and let the operator export the underlying data.

Why a campground needs different software from a hotel

A campsite is not a generic room. An RV booking may depend on rig length, hookup type, amperage, pull-through or back-in access and the guest's preferred site. A real operator question on Reddit described the same operational jump: availability, seasonal pricing, deposits, check-in details and guest questions become difficult to coordinate once bookings increase.

The practical test is whether the system can answer three questions without another spreadsheet: which site safely fits this guest, what is still available, and what money or task remains outstanding?

Minimum campsite PMS checklist

  1. One live inventory: online, phone, walk-up and staff bookings must update the same calendar immediately.
  2. Site-fit fields: confirm that the booking flow can filter by length, hookup, site type and the attributes your staff actually use.
  3. Map and assignment control: decide whether guests choose a specific site, staff assign it, or rules allocate the best match.
  4. Rates and stay rules: test weekends, seasons, minimum stays, monthly guests, deposits, add-ons and cancellations.
  5. Payments: compare booking or service fees separately from card processing, refunds, offline payments and recurring invoices.
  6. Arrival workflow: look for confirmation, pre-arrival instructions, digital policies, check-in status and mass messaging.
  7. Operations: if the park has a store, cabins or turnover work, test POS, inventory, housekeeping and maintenance rather than assuming they are included.
  8. Reporting and exit: require usable exports for reservations, guests, payments and occupancy before importing live data.

Premier Campground ManagementPlanner and site-map views, online reservations, POS, waitlist, website widgets and housekeeping/maintenance tasksModel its per-reservation pricing and setup cost using the park's own reservation mix
WebDaVinci FlowOnline and staff-assisted reservations, interactive site selection, seasonal payment plans, POS and front-desk transactionsThe payment-funded offer requires WebDaVinci Payments; its FAQ says OTA channel management is not currently available in Flow Core

A five-booking demo test

Ask each vendor to run these exact scenarios in the product, using a sample map and rates:

  1. An online guest with a 42-foot rig needs 50-amp, full hookups and a pull-through site.
  2. A phone booking overlaps the same dates while another employee has the calendar open.
  3. A monthly guest pays electricity separately and needs a recurring invoice.
  4. A group wants three nearby sites but will pay with separate cards.
  5. A guest changes dates, receives a partial refund and then needs an updated confirmation.

If a normal scenario needs manual notes, duplicate entry or an external spreadsheet, record that workaround as part of the real cost.

How to choose without importing everything first

  • Use anonymized sample data and recreate one busy weekend.
  • Have the person who handles the front desk perform the test, not only the owner.
  • Ask for a written total-cost example based on your bookings and payment volume.
  • Export the test reservations and payments before agreeing to migrate.
  • Confirm implementation time, training, support hours and what happens during an outage.
