RV park software for monthly and seasonal stays
The short answer
Choose a system that keeps a long-stay site unavailable for short-stay bookings, generates the right recurring charges, records metered electricity and reconciles partial or offline payments. A nightly reservation calendar alone does not prove those workflows work. Ask each vendor to demonstrate a real monthly-to-seasonal change before migrating guest data.
Six workflows to put in the demo
- Unknown departure date: hold the site until the guest gives notice, without creating an accidental gap that appears bookable online.
- Recurring rent: issue invoices on the first of the month or on the guest's move-in anniversary, and show how a mid-cycle arrival is handled.
- Metered electricity: enter starting and ending readings, review the calculated charge and attach it to the correct guest invoice.
- Mixed payment methods: record card, bank transfer, cash or check according to the park's real policy; confirm how partial payments and failed charges appear.
- Seasonal payment plan: schedule deposits and installments, then change the stay dates without losing the payment history.
- Reporting and exit: export the guest ledger, open balances, meter history and future site commitments in a usable format.
For each demo, ask the vendor to show the employee view and the guest-facing invoice. Record any spreadsheet or manual workaround as part of the true operating cost.
Documented options to compare
| Software | What the vendor documents | Question to verify in a demo |
|---|---|---|
| Park With Us | Long-term invoices, bulk electric readings, recurring reservations and an indefinite booking that keeps the site blocked while future monthly invoices are created. | Show your exact billing cycle, late departure and utility-rate rules; request the service and processing fees in writing. |
| WebDaVinci Flow | Seasonal reservations, full or partial payments, monthly payment plans, and scheduled card or ACH processing. | Show meter billing and the full cost of your payment mix; the payment-funded Flow Core offer requires WebDaVinci Payments. |
| Premier Campground Management | Monthly billing and utility metering appear on its public features page. | Show the full meter-to-invoice workflow and how longer-than-30-day reservations are billed under your quote. |
These are published capabilities to test, not independently verified outcomes at a live park. Ask each vendor about availability, implementation and fees for your location.
A sample acceptance test
Build a fictional 60-site park with one monthly guest, one seasonal guest and one nightly guest. First, create a monthly booking with no known end date and verify the site cannot be sold online. Next, enter an electric reading and issue an invoice with rent, electricity and a partial payment. Then extend the stay, change the rate at renewal, and export the open balance. Repeat the same test for every shortlisted product.
Do not use real guest or payment data during an initial sales demo. Have the person who actually bills long-stay guests judge the workflow.
One tracked option
Park With Us documents long-term invoicing, meter readings and indefinite reservations. If those are your central problems, ask for a demonstration using the acceptance test above.
